There are numerous major workloads in the Benefits Records Branch (BRB). I have the ability to go from one to the other easily. The clerical portion of the Medicare Part D Subsidy Application is extracted, examined, and, if necessary, mended. SSA 1020 (initial application) and 1026 (redetermination application) are received from the public of field office. They are analyzed for completeness and clarity. Incomplete applications are marked as an exception to indicate further development is needed. The exceptions are developed via MAPS program called the back end of the subsidy exceptions. The scanned image is reviewed; I attempt to resolve exceptions following procedure from information already on the scanned image. Direct contact may be necessary verbally by phone or in writing via the request for information letter. Pending request for information are monitored in a filter that keeps track of the request by due date, if the request is not returned in a timely manner (20 days) a failure to cooperate is determined and the application is denied. Successful contact and resolution of an application is then submitted to the Subsidy Determination to be processed. Applications are processed in a timely manner to reach our deadlines and to not disadvantage the applicant.
I extract and examine annual wage reports for current and prior year. The W3s and W2s are analyzed for completeness and accuracy; I initiate contact with employers to resolved any discrepancies. Annual wage reports are sorted into different categories to permit the most efficient method for processing. I input current, delinquent scan, key from image annual wage reporting data into out computer system via IIBDCs in an accurate and timely manner.
I examine T2/T16 continuing disability reports to prepare them for the scanner. Beneficiaries on disability are sent questions regarding their health, ability to work, or actual work activity periodically to determine the status of their disability. Returned reports are mended, checked for signatures and completeness. The reports are coded accordingly to indicate the potential ability to work, actual work activity, improvement in health and work by analyzing the remarks on the CDR. Unanswered questions or duplicate answers are attempted to be resolved by direct contact via the telephone with the beneficiary or representative payee. Unsuccessful contacts are held for 24 hours to allow the beneficiary or rep payee time to return our call. No callback is documented on an ssa-5002 and sent for further development.
I review scanned electronic representative payee reports to determine the nature of the exception. This is done by analyzing and researching the proper procedure, scanning over the document for missed questions, incorrect answers, and also examining remarks. I verify the representative payee signature on the report then attempt to make direct contact to develop the exceptions. Successful contact will allow me to update and approve the report, I document the conversation with a report of contact ROC. Unsuccessful contact requires a L732 sent via mail to the payee requesting clarification of their answers on the report. Documentation is maintained in a diary pending return of the completed L732s. When further development is needed cases are transferred to the payment center for processing.
